Consultation Settings

The Consultation Settings page allows organizations and individual Healthcare Providers to configure how consultation features work. These settings influence everything from how encounters are logged, to how AI Scribe generates consultation documents, and how templates are managed.

Note: There are two levels of configuration: Organization level for Admin users and Individual level for each Healthcare Provider.

Organization-Level Settings

Accessible only by admin users, these settings define the default behavior of the consultation features.

These settings define defaults that newly added Healthcare Providers will inherit when their accounts are created. However, any changes made here will not apply retroactively to HPs who already have their personal settings established.

My Consultation Settings

These settings allow each Healthcare Provider to manage their own consultation preferences. By default, a provider’s settings are inherited from the organization-level configuration. However, providers can customize their personal consultation settings here to better suit their individual workflow and practice needs.

Audio Transcription

The Audio Transcription settings let your organization control how providers can record and transcribe consultation conversations.

  • Audio Recording: Turn this ON in Organization-Level Settings, to allow providers to record their patient consultations and generate transcripts as part of the Encounter Log. Once this is enabled, each provider will be able to manage their own transcription preferences (like language and mode) under their My Consultation Settings.
  • Input Language: Set a default language for transcriptions. Providers should ensure their recordings are done in this selected language. If a different language is used during the recording, the transcription will not work correctly.
  • Transcription Mode: The Smart Transcript mode has been set as default for now.
  • Smart Formatting: This enables to automatically add punctuation, speaker tags, and proper text formatting to improve readability of transcripts.

AI Note Scribe

This section lets you control how AI-generated consultation documents are created and formatted within your Virtual Practice. These organization-level settings determine the behavior of the AI Scribe feature across all providers.

  • AI- Assisted Note Generation: Enable or disable the AI Scribe functionality for the entire practice. When turned on, providers will be able to generate consultation documents using AI, based on the recorded encounter log and other clinical data.
  • Output Language: Choose the default language in which consultation documents will be generated and displayed. This determines the language used in the final output.
  • Preferred Date Format: Select how dates should appear in the AI-generated notes. We have set dd MMM yyyy as the default date format.

Consultation Data Settings

This setting is present only for Organization Consultation Setting to set data-related policies for consultation records.

  • Patient Consent Requirement: Enable this checkbox if providers must confirm patient consent before starting audio recordings.

Custom AI Note Templates

This setting is present only for Organization Consultation Setting to empower providers to build and reuse documentation templates tailored to your practice.

  • Enable Custom AI Templates: Allow providers to create custom AI-powered documentation templates.

Consultation Documents

This setting lets you choose how your consultation documents are created—either with AI assistance or through manual typing.

  • Use AI By Default: If AI Scribe is enabled by your organization, you can choose a default AI template for generating documents based on your encounter inputs. To set this, go to My Template Library, select the desired AI template, and mark it as Default. The selected template will be displayed here and used whenever AI is enabled for documentation.
  • Manual Text Entry by Default: If you prefer to type notes manually, you can also set a default non-AI template for manual documentation.

Note: You may notice that some settings appear blurred out or are not clickable. These settings are features that are currently under development or will be made available in future updates.
